Summary of Role
In this role the Professional Development Coordinator is responsible for organizing and facilitating all Professional Development programs for a portfolio of approximately 12-14 designated sections and/or certificate/series programs, working closely with the PD lawyer assigned to each section/series. Some sections may have an award component which is presented during a program. Coordinators liaise with volunteers, program chairs and faculty to execute programming.
Reporting Relationship
The PD Coordinator works under the supervision of the Senior Director of Lawyer Services in conjunction with PD Lawyers.
General Responsibilities
- Organize and facilitate PD programs, including book rooms, venue, refreshments and A/V and all tasks included in CPD Critical Timelines.
- Input Section programming into the PD Tracking Chart.
- Under the direction of the PD lawyers, prepare and send speaker invitations for all programs, including tracking speaker responses.
- Prepare/format program descriptions/agenda, and work with the Registration team to open program registration.
- Review and work with marketing department on advertising and marketing materials for programs.
- Liaise with volunteers and speakers with respect to logistics for the program, including the delivery of written materials for programs.
- Co-ordinate and monitor program registrations.
- Arrange travel and accommodation for out-of-town speakers and submit their expenses for reimbursement in accordance with the organization's financial guidelines and policies.
- Organize all speaker materials prior to programs for distribution to program chairs, along with introductory and closing remarks.
- Liaise with the marketing and graphics staff and the on-site print room for the production and delivery of materials for programs within set deadlines.
- Coordinate and manage program chairs and speakers on the day of the program for assigned PD programs.
- Organize post-program content/materials for the development of multi-media derivative products such as webcasts, archived video, etc.
- Work within the departmental budget for the creation of programs.
- Other duties and responsibilities as assigned by the departmental Director.
Qualifications
- Superior organizational capabilities
- Excellent professional communication, both written and verbal
- Strong attention to details and follow up
- Excellent computer skills including use of Microsoft Word and Excel
- Working knowledge of budget preparation
- A conceptual interest in the advocacy, professional development and other OBA related activities
- A keen interest in serving members and familiarity working with volunteers
- Ability to interface effectively with peers and clients in the legal community
- Self-motivated with the ability to multi-task and complete initiatives within short timelines
- Knowledge of the iMIS database system is an asset
- Bilingualism (English/French) is an asset
Position/Salary Range
This is an existing position that offers a salary range of $53,000 to $58,000.
